User Management

Manage team access, roles, profiles, and ownership in Solvren.

Overview

User management lives under Setup -> Team & access. It controls who can access Solvren, what they can do, and how they appear when work is assigned.

Proper user configuration helps Decisions, approvals, and Problems route to the right people.


Inviting Users

Administrators can invite users to the organization.

To invite a user:

  1. Open Setup.
  2. Open Team & access.
  3. Click Invite user.
  4. Enter the user's email address.
  5. Assign a role.

The user receives an invitation email with instructions for joining the organization.


Profiles And Avatars

Users can manage their own display name and profile picture from Setup.

Profile pictures are resized for consistent display and appear throughout the app, including:

  • the topbar user menu
  • team member rows
  • Decisions
  • approval owner cards

Demo workspaces allow profile updates even though most operational writes remain restricted.


User Roles

Roles determine what actions users can perform.

Owner

Full organization access. Owners can configure organization settings, license scope, users, security, and decision rules.

Admin

Administrators manage setup and configuration.

They can:

  • invite users
  • configure approval roles and mappings
  • manage evidence and proof expectations
  • manage integrations and setup
  • review diagnostics and security settings

Submitter

Submitters can create and edit changes and submit them for review.

Reviewer

Reviewers evaluate and approve changes assigned to them.

Viewer

Viewers can see permitted records but cannot manage organization settings.


Managing User Access

Administrators can update user roles at any time.

They can also:

  • remove users from the organization
  • maintain approval role assignments
  • grant explicit access to restricted records
  • keep owner/admin access limited to people who need it

Removing unused accounts helps maintain security.


Best Practices

Recommended practices include:

  • Invite the decision makers who own revenue-sensitive workflows.
  • Keep admins limited to people who actually manage setup.
  • Assign reviewers for each important revenue area.
  • Ask users to add profile pictures so ownership is easy to scan.
  • Review access when people change roles or leave the company.
